Why We Are Building Ace AssociationOS
Membership organizations — chambers of commerce, trade associations, contractor groups, and minority business organizations — are among the most important connective tissue in local and regional economies. They help businesses find resources, build relationships, and access opportunities they couldn't reach alone.
But too many of these organizations are running on outdated tools, disconnected spreadsheets, and legacy software that wasn't designed for the work they actually do. Staff spend hours on manual processes. Members don't see enough value to renew. And the organizations themselves lack the data to demonstrate their impact.
We are building Ace AssociationOS because we believe membership organizations deserve modern, purpose-built technology — and because we believe the most meaningful thing that technology can do for a member is connect them to a real opportunity.
The Team Behind the Platform
Ace AssociationOS is owned by Nalon Creative Group, LLC and developed and operated through Ace Digital Media Group. The project is led by the co-owners of Ace Digital Media Group.
Garrett Smith is a co-owner of Ace Digital Media Group and an ownership-eligible contributor to the Ace AssociationOS project. He brings experience in digital strategy, product development, and building technology solutions for organizations that need to demonstrate measurable value to their stakeholders.
Quincy Bell is a co-owner of Ace Digital Media Group and an ownership-eligible contributor to the Ace AssociationOS project. He brings experience in business development, organizational strategy, and building relationships with the membership organizations and communities the platform is designed to serve.
Ace AssociationOS is a product of Nalon Creative Group, LLC. Development and operations are conducted through Ace Digital Media Group. External contractors, software tools, and technology vendors support the build process but are not product owners.
Our Product Principles
These principles guide every decision we make about what to build, how to build it, and how to operate the platform.
Every feature should help an organization demonstrate concrete value to its members — not just activity, but outcomes.
Membership organizations are different from each other. The platform should adapt to how an organization works, not force it to change.
Opportunity data comes from official government sources. Matching logic is explainable. Members understand why they are seeing what they see.
Member data is sensitive. The platform is designed with security and privacy as foundational requirements, not afterthoughts.
The platform is designed to meet WCAG 2.1 AA standards so that staff and members of all abilities can use it effectively.
Organizations already use other tools. The platform is designed to integrate with accounting systems, payment processors, and communication platforms rather than replace them all.
We are building for the long term. Features are released when they are ready, not before. The pilot program exists to validate the platform before broad release.
Automated matching and alerts are tools to assist staff and members — not to replace human judgment. Staff always have visibility and control.
Designed With Organizations, Not Just for Them
We are not building Ace AssociationOS in isolation. The platform is being developed in direct collaboration with the membership organizations that will use it — through the pilot program, through advisory conversations, and through ongoing feedback loops with association staff and leadership.
This means the roadmap is shaped by real operational needs, not assumptions. When a pilot organization tells us that their biggest challenge is tracking member engagement across committees, that becomes a priority. When they tell us that their members need help understanding NAICS codes before they can use the opportunity feed, we build the education layer alongside the data layer.
We believe the best association technology is built by people who are genuinely invested in the success of the organizations using it — and who are willing to listen before they build.
Pilot Organization Program
The Ace AssociationOS pilot program is the primary path to early platform access. Pilot organizations work directly with the Ace Digital Media Group team to:
- Access platform modules as they are released
- Provide direct feedback that shapes the product roadmap
- Receive dedicated onboarding and support from the Ace team
- Participate in product development conversations
- Access pilot pricing for the duration of the program
The pilot program is designed for established membership organizations — chambers of commerce, contractor associations, trade groups, minority business organizations, and similar entities — that are actively managing members and looking to improve their technology infrastructure.
Data Responsibility
Ace AssociationOS handles member data on behalf of the organizations that use the platform. We take that responsibility seriously.
Member data is used only to provide the services the organization has configured. It is not sold, shared with third parties for advertising, or used to train external AI models. Organizations retain ownership of their member data and can request exports or deletion in accordance with applicable law.
Opportunity data is sourced exclusively from official government databases — SAM.gov, Grants.gov, USASpending.gov, and state procurement portals. The platform does not create, modify, or editorialize opportunity listings. All opportunity data is attributed to its source.
Security and Trust
Ace AssociationOS is designed with security as a foundational requirement. The following practices describe our intended security architecture and operational approach. We do not claim certifications we have not obtained.
Platform access is governed by roles. Staff members see only what their role permits. Administrators control role assignments for their organization.
Each organization's data is logically separated. One organization cannot access another organization's member data, configurations, or activity.
All data transmitted between users and the platform is encrypted using TLS. Data stored in the platform is encrypted at rest.
Sensitive operations — including data exports, permission changes, and administrative actions — are logged for accountability and review.
The platform uses secure authentication practices including strong password requirements, multi-factor authentication options, and session management controls.
Internal access to production systems and customer data is limited to personnel who require it for their role. Access is reviewed regularly.
Data is backed up regularly. Recovery procedures are documented and tested to minimize data loss and downtime in the event of an incident.
Third-party vendors and services used in the platform are evaluated for their own security practices before integration.
The platform includes controls for data retention, member consent management, and data export to support organizational compliance with applicable privacy laws.
We maintain documented incident-response procedures. In the event of a security incident affecting customer data, affected organizations will be notified promptly.
Ace AssociationOS has not obtained SOC 2, ISO 27001, HIPAA, PCI DSS, or other third-party security certifications at this time. We do not display certification badges we have not earned. Our security practices are described above as design intent and operational commitments.
Platform Roadmap
Ace AssociationOS is in active development. The roadmap is organized into three tiers that reflect development priority and timeline.
Core features targeted for the initial pilot release. These capabilities are the foundation of the platform and are being built first.
