Ask for real scenarios
Provide the vendor with a few representative journeys in advance: a business joins, contacts change, an invoice is due, an event occurs, and staff need a report. Ask to see the full path.
Include an exception, such as a duplicate contact or a changed membership type. Everyday complexity is often more revealing than a simple happy path.
Invite staff from membership, events, finance, and leadership so each perspective can test the demonstration.
Ask about data and migration
Ask how people and organizations are related, how duplicate records are identified, and how historical activity is retained. Request a plain-language explanation of import responsibilities.
Understand what data can be exported and in what format. Portability matters even when you expect a long vendor relationship.
Ask who controls permissions and how the organization can audit important changes.
Ask about the member experience
Request a view of common member tasks, including profile updates, registration, renewal, and access to resources where relevant. Test the language and number of steps involved.
Ask how staff can support a member who gets stuck. A self-service feature is only helpful when the exception path is clear.
Consider accessibility and mobile use as part of the member experience, not as an afterthought.
Ask about integrations and support
List the systems that matter to your organization and ask what connects today, what requires configuration, and what is planned. Get commitments documented rather than inferred from a roadmap conversation.
Ask about implementation roles, training, support channels, response expectations, and product update communication. These details shape adoption.
For a pilot-stage platform, ask explicitly what is available now, what is being tested, and how pilot feedback affects priorities.
Compare after the demo
Score each option against the same scenarios and requirements while the session is fresh. Separate confirmed capability from future possibility.
Collect feedback from all participants, then resolve differences by returning to the workflow evidence. Avoid letting one memorable feature outweigh operational fit.
A clear evaluation record helps leadership make a decision that can be explained and sustained.
