Recognize the limits of spreadsheets
Spreadsheets can be useful for analysis and short-term tracking, but they struggle to represent relationships, permissions, and history across a growing member base. Copies can multiply faster than teams can reconcile them.
Common warning signs include duplicate records, uncertainty about the latest version, manual renewal lists, and staff dependence on individual file owners.
The goal is not to eliminate every spreadsheet. It is to stop using them as the sole source of operational truth.
Map your current data
Inventory the files, fields, owners, and processes that support membership operations. Identify which source is trusted for each critical field and where the same information appears in multiple places.
Classify data by sensitivity and decide who should access it. This is a governance exercise as much as a migration exercise.
Remove obviously obsolete records only with a documented process; deleting history without review can create new problems.
Define a practical data model
Decide how people, organizations, membership types, contacts, events, and interactions should relate to one another. Use consistent definitions for statuses and dates before importing data.
Keep the first implementation focused on fields that support essential work. You can add complexity later when there is a clear owner and purpose.
Document field definitions so staff do not create conflicting interpretations after launch.
Plan the change process
A successful move requires training, communication, and new routines, not only data transfer. Explain what will change, what will remain familiar, and where staff can get help.
Pilot a few workflows with representative users before broad adoption. Their feedback can reveal missing permissions, unclear instructions, or data cleanup needs.

Maintain governance after launch
Assign owners for key fields, access reviews, and data quality checks. Establish how staff request changes and how the organization handles departures or role changes.
